Functional Skills Examination Booking Terms and Conditions

These Terms and Conditions apply to candidates who book Functional Skills examinations through Clarence Green College. Please read them carefully before submitting an examination booking.
By submitting a booking and making payment, you confirm that you have read, understood and agreed to these Terms and Conditions.
1. Examination Booking
Submitting an application or booking form does not automatically confirm an examination place.
An examination booking is confirmed only when Clarence Green College has processed the candidate's details, completed any required awarding organisation registration, received the applicable examination fee and confirmed the examination date and time.
Candidates should not assume that their preferred examination date or time has been secured until written confirmation has been received from Clarence Green College.
All examination bookings are subject to availability.
2. Examination Fees
Current Functional Skills examination fees are:
Functional Skills Mathematics: £150 (online)
Functional Skills English: £90 per component
Functional Skills English Package: £250
The English package covers the applicable components included within the package at the time of booking.
Prices may be reviewed or changed from time to time. The price applicable to a candidate will be confirmed before payment and booking.
3. Candidate Registration
Where required, Clarence Green College will register the candidate with the relevant awarding organisation.
Candidates must provide complete and accurate information for registration purposes, including their full legal name and date of birth.
The information provided should match the candidate's identification documents.
Incorrect information may result in delays, additional charges or difficulties with registration, examination entry, results or certification.
Once a candidate has been registered with the awarding organisation, Clarence Green College may incur registration charges that cannot be recovered.
4. Identification
Candidates must provide acceptable identification when requested.
Candidates may be required to upload a clear copy of valid photographic identification as part of the booking process and may also be required to present identification before or during the examination.
Acceptable identification may include a valid passport or photocard driving licence, subject to the requirements of the relevant awarding organisation.
The name appearing on the candidate's identification should correspond with the name used for examination registration.
Failure to provide acceptable identification may result in the examination being delayed or the candidate being unable to sit the examination.
5. Preferred Examination Date and Time
Candidates may request a preferred examination date and time when completing the booking form.
Clarence Green College will endeavour to accommodate the candidate's preference but cannot guarantee that a particular date or time will be available.
Candidates should normally allow at least 48 hours for their registration and examination arrangements to be processed.
More time may be required where reasonable adjustments, additional documentation or approval from the awarding organisation is required.
The examination date and time will only be considered confirmed once Clarence Green College has issued confirmation to the candidate.
6. Online and Remote-Invigilated Examinations
Where an examination is delivered online or through remote invigilation, an examination or remote-invigilation seat may need to be purchased specifically for the candidate.
Candidates must follow any technical, identification, room or examination requirements provided before the examination.
Candidates are responsible for ensuring that they have suitable equipment, internet access and an appropriate examination environment where these are required for a remotely invigilated examination.
Candidates should complete any required system checks before their examination.
Clarence Green College cannot guarantee that an examination can proceed where a candidate's equipment, internet connection or examination environment does not meet the required standard.
7. Reasonable Adjustments and Additional Support
Candidates who require reasonable adjustments or additional examination support should inform Clarence Green College during the booking process and as early as possible before the proposed examination date.
Supporting documentation or evidence may be required depending on the adjustment requested and the requirements of the awarding organisation.
Requests will be considered in accordance with applicable awarding organisation requirements and relevant policies.
Submitting a request does not automatically mean that a particular adjustment has been approved.
Where approval from the awarding organisation is required, the examination may not be booked until the necessary approval has been obtained.
8. Cancellations and Refunds
Candidates who wish to cancel an examination booking should contact Clarence Green College as soon as possible.
Where cancellation is requested before the candidate has been registered with the awarding organisation and before an examination , a refund may be considered, subject to any applicable administration costs and the candidate's statutory rights.
Once Clarence Green College has registered the candidate with the awarding organisation, the registration fee incurred by Clarence Green College cannot normally be recovered.
Where an examination or remote-invigilation seat has also been purchased for the candidate, this may represent an additional non-recoverable cost.
Accordingly, where registration and/or examination booking costs have already been incurred, any refund that may be due will normally exclude those costs, where legally permitted.
Where the examination has already taken place, no refund will normally be available except where required by law.
Nothing in these Terms and Conditions affects the candidate's statutory consumer rights.
9. Rescheduling an Examination
Candidates wishing to change their examination date or time should contact Clarence Green College as soon as possible.
Where the examination has not yet been registered , Clarence Green College will endeavour to move the booking to another available date.
Where registration, examination or remote-invigilation arrangements have already been purchased or committed, changing the date may result in additional charges.
If a new examination or remote-invigilation seat has to be purchased, the candidate will be informed of the applicable charge before the new booking is confirmed.
All rescheduled examinations remain subject to availability.
10. Non-Attendance
Candidates are responsible for attending their examination at the confirmed date and time.
Where a candidate does not attend their examination, registration, examination and remote-invigilation costs already incurred cannot normally be recovered.
The original examination fee will therefore normally be non-refundable in cases of non-attendance.
If the candidate subsequently wishes to take the examination, a new booking will be required and an additional examination or resit fee will apply.
11. Late Arrival
Candidates should be ready for their examination at the time stated in their confirmation.
Late arrival may result in the candidate being unable to sit the examination, particularly where this would conflict with awarding organisation or invigilation requirements.
Where a candidate cannot sit the examination because of late arrival, a new booking and additional fee may be required.
12. Resits
The original examination fee does not include unlimited examination attempts.
Where a candidate does not achieve a pass and wishes to take the examination again, a separate resit fee will apply.
A resit requires Clarence Green College to arrange another examination and, where applicable, purchase another examination or remote-invigilation seat.
The current resit fee will be confirmed before the new examination is booked.
For Functional Skills English, components are treated separately where permitted by the relevant qualification arrangements.
Where a candidate has successfully completed some components but needs to retake another component, the candidate will normally only need to book and pay for the component that must be retaken, subject to the relevant awarding organisation's rules.
13. Examination Rules and Candidate Conduct
Candidates must comply with all examination, invigilation and awarding organisation rules.
Candidates must follow the instructions provided by the invigilator or remote-invigilation system.
Candidates must not receive unauthorised assistance, use prohibited materials or devices, impersonate another candidate or engage in any form of examination malpractice.
Suspected malpractice may result in the examination being stopped, results being withheld or cancelled, and the matter being reported to the relevant awarding organisation.
Further action may be taken in accordance with the awarding organisation's malpractice procedures.
14. Technical Problems
Candidates taking an online examination should follow the technical instructions provided before the examination.
Where a technical problem occurs that is outside the candidate's control, Clarence Green College will consider the circumstances and, where appropriate, liaise with the examination or awarding organisation provider.
A replacement examination will not automatically be provided free of charge. This will depend on the circumstances, the cause of the technical issue and whether the relevant examination provider agrees that a replacement examination or seat can be provided without additional cost.
15. Examination Results
Examination results are issued in accordance with the relevant awarding organisation's procedures and timescales.
Candidates will be informed of their results when they have been released to Clarence Green College or made available through the appropriate awarding organisation system.
Clarence Green College cannot alter or independently change an examination result issued by the awarding organisation.
16. Certificates
Certificates are issued following successful completion of the relevant qualification requirements and in accordance with awarding organisation procedures.
Candidates are responsible for ensuring that their personal details are correct when registering.
Corrections requested after registration or certification may be subject to an additional charge where the awarding organisation charges Clarence Green College for making the amendment.
17. Changes or Cancellation by Clarence Green College
In exceptional circumstances, Clarence Green College may need to change an examination date, time or examination arrangement.
Where this occurs, affected candidates will be informed as soon as reasonably practicable.
Clarence Green College will endeavour to provide an alternative examination date or arrangement.
Where Clarence Green College cancels an examination and cannot provide a suitable alternative, the candidate will be offered an appropriate remedy, taking account of any applicable statutory rights.
18. Data Protection and Privacy
Clarence Green College will use the personal information provided by candidates to process examination applications and bookings, register candidates with awarding organisations, communicate examination arrangements, administer assessments and results, and meet relevant regulatory and quality assurance requirements.
Candidate information may therefore be shared with the relevant awarding organisation, examination provider, remote-invigilation provider or other authorised organisations where this is necessary to administer the examination.
Personal information will be handled in accordance with applicable data protection legislation and the Clarence Green College Privacy Notice.
19. Marketing Communications
Consent to receive marketing communications is optional and is separate from consent required to administer an examination booking.
Candidates are not required to agree to receive marketing communications in order to book an examination.
Where a candidate has chosen to receive marketing communications, they may withdraw their consent at any time.
20. Candidate Declaration
By submitting the examination booking form, the candidate confirms that:
the information they have provided is true and accurate;
they understand that their preferred examination date and time are subject to confirmation;
they understand that registration, examination and remote-invigilation charges may be incurred once their booking is processed;
they understand that resits are charged separately;
they agree to comply with examination and awarding organisation requirements; and
they have read and agree to these Functional Skills Online Examination Booking Terms and Conditions.
21. Statutory Rights
These Terms and Conditions are intended to explain the arrangements between Clarence Green College and candidates booking Functional Skills examinations.
Nothing in these Terms and Conditions excludes or restricts any rights or remedies that a consumer is entitled to under applicable UK law.
